This Privacy Policy explains how PSQK LLC handles personal information. The developer name for this website is PSQK, and PSQK LLC is the company that operates the site at https://www.psqk.hair and the watch desk described on it. The policy covers our website, our roster coordination work, our systems design engagements and any communication you have with our desk at 1856 S Columbia Ln, Orem - 84097-8042, United States (US). We wrote it in plain language so that a building manager, a contractor or a visitor can read it in one sitting and understand what happens to the details they share. If any part remains unclear, write to desk@psqk.hair and a person will answer in writing.

1. Scope of This Policy

This policy applies to every interaction you have with PSQK LLC unless a separate written agreement says otherwise. It covers the public website, any form you submit through it, email and telephone contact with the desk, the roster coordination services we provide to buildings and the systems design work we perform for clients. It does not cover a client site that we visit, because the owner of that site sets its own rules and posts its own notices. Where a client site collects information about you, that operator is responsible for it and our role is limited to the work described in that contract.

The policy also does not cover products or services offered by other companies, even where we recommend them or link to them. If you follow an external link, the privacy notice of that destination applies from the moment you arrive. We encourage you to read it before sharing anything.

2. Who We Are

PSQK LLC is a computer integrated systems design company registered in the United States and based in Orem, Utah. Our office and watch desk sit at 1856 S Columbia Ln, Orem - 84097-8042, United States (US). We can be reached by email at desk@psqk.hair, by telephone at +15513558891 and through the contact form on this website. For the purposes of applicable privacy law, PSQK LLC is the controller of the personal information described in this policy. Where we act on the instructions of a client and do not decide the purpose of the processing, we act as a processor and the client is the controller.

The developer name used for this site is PSQK. Any reference to the developer, the company, we, us or our in this document means the same organization operating under the legal name PSQK LLC.

3. Information We Collect

We try to collect as little as possible. In practice the categories below cover almost everything we hold.

Information you give us directly

  • Your name, job title and the organization you represent when you write to the desk or call the business number.
  • Contact details including email address, telephone number and, where relevant, a postal address for correspondence.
  • The content of your message, including any description of a building, a fault, an incident or a schedule that you choose to share.
  • Contract and billing details needed to administer an engagement, such as purchase order references and invoicing contacts.
  • Information you provide during a site walk, such as the names of staff who should appear on a roster or the identity of a key holder.

Information created during service delivery

  • Roster entries, lockup check results, incident log entries, gate walk findings, alarm test records and key ring audit results.
  • Initials, signatures, times and short notes that identify which person completed which part of a watch.
  • Photographs or written descriptions of equipment where these are needed to document a finding.
  • Correspondence summaries created by our desk for the purpose of the morning handover and later review.

Information collected automatically

  • Technical data such as browser type, device type, approximate region and the pages visited on this website.
  • Standard server records including the date and time of a request, the requested address and the response code.
  • Referral information showing the page or search that led you to the site, where the browser supplies it.

We do not ask for payment card numbers through this website. We do not ask for passwords, access codes or door codes by email, and any message that appears to request them should be treated as suspect and reported to desk@psqk.hair.

4. Where the Information Comes From

Most information comes directly from you. You send an email, complete the contact form, call the desk or hand over a document during a visit. Some information comes from the organization you represent, for example when a facility manager supplies a staff list for roster planning. A small amount arrives automatically from your browser when you load a page. In rare cases we receive information from a contractor or an integrator who is coordinating work at a shared site, and in those cases we confirm with the site owner that the sharing is expected before we keep it.

We do not buy personal information from data brokers, and we do not build profiles of individuals from unrelated sources. If information reaches us without a clear purpose, we either return it or delete it rather than finding a use for it.

5. Why We Use Personal Information

We use personal information for the following purposes, each of which is tied to a real task at the desk.

  • To answer your enquiry and to decide whether our services fit your building.
  • To prepare and maintain rosters, check sheets, calendars and registers for a client site.
  • To conduct incident log reviews and to issue written summaries with follow up actions.
  • To administer contracts, invoices and correspondence with a client or supplier.
  • To keep a record of who holds a key ring and to reconcile that record with electronic access settings.
  • To protect the safety of watch staff and visitors at a site, including the documentation of hazards.
  • To maintain the security and reliability of this website and to diagnose technical faults.
  • To meet legal, tax, insurance and record keeping obligations that apply to PSQK LLC.
  • To defend or exercise legal rights where a dispute arises.

We do not sell personal information. We do not rent contact lists. We do not use information from a client engagement to market to that client unrelated goods or services beyond occasional, clearly labelled updates about work of the same kind.

6. Legal Basis for Processing

Where data protection law requires a legal basis, we rely on one or more of the following.

  • Contract: processing needed to prepare, perform or close an agreement with you or with the organization you represent.
  • Legitimate interests: processing needed to run a watch desk safely and efficiently, provided your rights and freedoms are not overridden. This covers most record keeping and routine correspondence.
  • Consent: processing based on a clear choice you make, such as subscribing to an occasional update. You may withdraw consent at any time without affecting work already completed.
  • Legal obligation: processing required by tax, accounting, insurance or safety rules.
  • Vital interests: processing needed to protect a person from serious harm, which is rare but applies to emergency situations at a site.

Where a client instructs us as a processor, the legal basis is a matter for that client to determine and to communicate in its own notice.

7. Cookies and Similar Technologies

This website is deliberately light. It does not run advertising networks, it does not embed social media tracking pixels and it does not use cookies to follow you across other sites. We may use a small number of strictly necessary cookies or local storage entries to remember a preference such as an open menu on a mobile device. These entries contain no personal profile and expire or reset when you clear your browser data.

If we ever add an analytics tool that sets cookies, we will name it in this section, describe what it records and offer a way to decline before it loads. Any change of that kind will appear in the update history at the top of this page.

Most browsers allow you to block cookies entirely. The site remains usable with cookies blocked, because no core function depends on them.

8. Server Logs and Watch Records

Our web server writes a standard access record for each request. The record includes the address requested, the time, the response status and a truncated identifier for the network that made the request. We use these records to keep the site available, to detect abuse and to investigate a fault. They are not combined with contact information to build a profile of a visitor.

Watch records are different in nature and are handled with more care. They are working documents that protect a building and the people in it. Access is limited to the desk staff who need them for a shift, a review or an audit. Where a record names an individual, for example as the watch who completed a round, we keep the wording factual and avoid commentary that would be unfair to that person.

9. How We Share Information

We share personal information only where there is a clear reason. The categories are short.

  • With the client whose site is being watched, because the roster and the findings belong to that client.
  • With a contractor or integrator who must act on a finding, limited to the details needed for that task.
  • With service providers who host the website, deliver email or provide accounting support, under written terms.
  • With professional advisers such as an accountant, an insurer or a lawyer where their advice is required.
  • With a public authority where the law compels disclosure or where disclosure is needed to prevent serious harm.
  • With a buyer or successor in the event that the business is sold or merged, subject to equivalent protections.

We do not trade personal information for money or for access to other lists. We do not permit a recipient to use information for its own marketing unless that recipient obtained it from you independently.

10. Service Providers and Processors

Like most small firms, we rely on a handful of providers. These may include a web hosting company, an email provider, a domain registrar and an accounting platform. Each provider receives only the information needed to perform its function and is bound by a contract that requires confidentiality, security and deletion on termination.

We review providers before use and reassess them when a contract renews. If a provider suffers a breach that affects information we control, we will act on the incident, notify affected parties where the law requires it and record what happened in our internal register. You can ask which categories of provider we use by writing to desk@psqk.hair, and we will answer with the current list.

11. International Data Transfers

PSQK LLC operates from the United States, and our primary records are kept there. Some service providers may process information in another country. Where that happens, we use a lawful transfer mechanism such as standard contractual clauses, an adequacy decision or another recognized safeguard, and we require the recipient to protect the information to a standard comparable with this policy.

If you are located outside the United States, please be aware that your information may be transferred to and processed in the United States, where privacy rules may differ from those in your home jurisdiction. We take the steps described above to keep the level of protection consistent.

12. How Long We Keep Information

We keep information only as long as it serves a purpose or a legal obligation.

  • Enquiries that do not lead to an engagement are deleted within twelve months.
  • Client contact details are kept for the life of the engagement and for a reasonable period afterwards for correspondence.
  • Roster, lockup, gate walk and key audit records are kept for the period agreed with the client, usually two years, so that a later review has evidence.
  • Incident records that relate to an injury, a loss or a dispute are kept for the limitation period that applies to that matter.
  • Accounting and tax records are kept for the period required by law.
  • Server logs are kept for a short rolling window unless a specific investigation requires longer.

When a retention period ends, records are deleted or destroyed in a way that prevents reconstruction. Paper sheets from a completed engagement are shredded at the desk, and digital copies are removed from active storage and from backups on the normal backup cycle.

13. How We Protect Information

Security at a watch desk is practical rather than theatrical. We use encrypted connections for the website and for email where the provider supports them, we require unique passwords and a second factor for accounts that hold client data, and we keep paper records in a locked cabinet at the Orem office. Access to a client record is granted to the staff who need it for the work and removed when the work ends.

We train the desk team on phishing, on the handling of key registers and on the rule that no password or door code is ever sent in a message. We test our backup restore process rather than assuming it works. Despite these measures, no system is perfectly secure, and we cannot promise that a breach will never occur. If one does, we will contain it, tell the affected parties without delay where the law requires, and explain what changed as a result.

You also have a part to play. Choose a strong password for any account you hold with us, keep your own records of what you have shared, and tell us at once if you believe a message from the desk looks wrong.

14. Your Privacy Rights

Depending on where you live, you may have some or all of the following rights.

  • Access: a copy of the personal information we hold about you.
  • Correction: a change to information that is inaccurate or incomplete.
  • Deletion: removal of information where there is no continuing reason to keep it.
  • Restriction: a limit on how we use information while a question is resolved.
  • Portability: a machine readable copy of information you provided to us.
  • Objection: a request that we stop processing based on legitimate interests.
  • Withdrawal of consent: an end to processing that relied on your consent.
  • Non discrimination: equal service after you exercise a right.

To exercise a right, write to desk@psqk.hair with enough detail for us to locate your record. We may ask a question to confirm identity, but we will not demand excessive proof. We aim to respond within thirty days and will tell you if a complex request needs longer. If we cannot act on a request because a legal obligation prevents it, we will explain the reason in writing. You may also complain to a supervisory authority in your jurisdiction, though we would prefer the chance to resolve the matter with you first.

15. Privacy for Children

Our services are designed for building owners, managers and contractors. This website is not directed at children, and we do not knowingly collect personal information from anyone under sixteen. If you believe that a child has sent information to the desk, contact us and we will delete it promptly. Where a site visit involves a school or a family property, we ask the responsible adult to handle any information about a minor and we do not record names of children in roster documents.

16. Marketing and Outreach

We send very little marketing. If you receive an update from PSQK LLC it will come from desk@psqk.hair, it will name the sender and it will include a simple way to stop future messages. We do not add a person to an update list merely because they asked a technical question. We do not sell or rent our list. If you ask to be removed, we record the request so that you are not contacted again by accident.

17. Third Party Sites and Links

This website may link to the site of a supplier, a standards body or a map service. Those destinations are not under our control. We do not endorse their privacy practices and we do not receive information about what you do there. If you arrive at a page that asks for information we would never request, close it and let us know.

18. Changes to This Policy

We revise this policy when our work, our tools or the law change. The effective date and the update date at the top of the page always show the current version. If a change materially affects how we use information already held, we will contact active clients by email before the change takes effect. Continued use of the website after a revision means that you accept the updated text, and you may always ask for a copy of an earlier version.

19. How to Contact Us

Questions about this policy, requests to exercise a right and reports of a suspected security issue should all go to the same place. Write to desk@psqk.hair or telephone +15513558891 during business hours. You may also send a letter to PSQK LLC at 1856 S Columbia Ln, Orem - 84097-8042, United States (US). Please include your name, the organization you represent and a short description of the matter so that the right person at the desk can reply without a round of questions.

If you are not satisfied with our answer, tell us. We keep a written record of privacy complaints and we review them at the next desk meeting. A complaint that reveals a weakness in this policy is treated as a chance to fix the policy rather than as an inconvenience.
